Custom Hotel Key Card Folders for Your Front Desk

Custom hotel key card folders are small printed sleeves that hold a guest's room key at check-in. Your front desk writes the room number on the inside, and the guest carries your brand all stay long.

  • Holds 1 or 2 key cards
  • Write-in room number
  • About 2.5 x 3.75 in
  • Wi-Fi details printed

A Pocket-Sized Folder Every Guest Touches

Key card folders are far smaller than any document folder. They fit in a wallet or shirt pocket, and the guest opens one every time they head to the room. That makes the inside panel prime space for useful details.

A plain key in a plain sleeve tells guests nothing. A printed key card holder can list breakfast hours, the Wi-Fi network, checkout time and the front desk extension. Guests stop calling the desk with the same questions.

Planning the Room Number Panel and Desk Workflow

The most used feature is a blank box for the room number. We leave it uncoated or apply an aqueous coating so a ballpoint pen writes cleanly. Gloss lamination over that box would make ink smear, so we mask it off.

Some hotels skip the room number for guest privacy and print a check-in date line instead. Your front desk team knows the routine best, so tell us what staff write by hand. We lay out the panel to match that routine.

Getting Key Card Folders Ready for Check-In

  1. Measure one of your key cards, or confirm it is a standard 2.125 x 3.375 in card.
  2. Choose one card pocket or two, and decide what staff will write by hand.
  3. Gather the guest info for the inside panel: Wi-Fi, breakfast hours, checkout time.
  4. Approve the free digital proof, checking that the write-in box sits where staff expect.
  5. We print, band the sleeves in stacks and ship them to your front desk.

Sizing Custom Hotel Key Card Folders for Your Cards

Standard key cards measure 2.125 x 3.375 in, the same as a credit card. A single-pocket sleeve closes at about 2.5 x 3.75 in. A wider design with two pockets holds two cards for couples or families.

If your property uses thicker RFID cards or wristbands, send us a sample size. We can supply a die-line template on request, and our custom gift card holders use a similar small format if you sell spa or dining gift cards too.

Stocks and Finishes That Suit Hotel Brands

Most properties choose 14 pt C2S with matte or gloss lamination on the outside. Boutique hotels often pick kraft board with white ink or a linen-textured cover for a softer feel. Foil stamping adds a crisp logo that catches the lobby light.

Because sleeves go out at every check-in, hotels order large runs and reorder often. Pantone spot colors keep your brand shade the same across reorders. Read the paper stocks and finishes guide to compare each option before you choose.

Custom Hotel Key Card Folders: questions we get

Will my key cards fit?

Standard key cards are 2.125 x 3.375 in, and our sleeves are sized with room to slide them in easily. If your cards are thicker or larger, send a measurement and we adjust the pocket.

Can front desk staff write on the sleeve?

Yes. We keep the write-in box free of lamination so pens write cleanly. Let us know if staff use markers, and we choose a coating that suits them.

Should we print the room number on the sleeve?

That is your call. Many hotels write it inside the fold so it stays out of sight. Others leave it off and tell the guest verbally.

Can a hotel group order several property designs?

Yes. Each property can have its own version with local details, all in one order. We pack each version separately and label it.

Do you also print larger welcome folders?

Yes. Many hotels pair key sleeves with a guest welcome folder, and our 9x12 presentation folders work well for room guides and group packets.

How do I order?
